Job Description

  • Effective and efficient diary management, organising and coordinating meetings and events for the COO
  • Booking travel, as well as managing expense and procurement processes
  • Working as part of the wider PA / EA team, ensuring that cover is provided as required
  • Building and maintaining effective working relationships both within the business and externally
  • Collating, preparing and distributing reports and packs in a timely manner
  • Assisting the COO by preparing, chasing important documents / decisions, in line with business-critical deadlines
  • Taking clear and concise minutes during meetings and then issuing actions with timely follow ups, to ensure completion
  • Assisting with the creation of MS Office documents, such as PowerPoint presentations, as well as writing and sending out important office memos & correspondence
  • Active involvement with all teams reporting to the COO functions
  • Regularly liaising with senior internal and external stakeholders, exercising exceptional communication skills and building strong working relationships

The Successful Applicant

A successful EA/PA should have:

  • Prior experience working in a PA or EA position, ideally to a board member or C-suite executive (i.e., CFO, COO, CEO etc.), preferably in a large, complex organisation
  • Strong administration and IT skills, including an advanced knowledge of MS Office
  • Excellent planning, organising and prioritising skills with good attention to detail
  • High level of professionalism when meeting external clients/guests
  • Outstanding written and verbal communication skills
  • Ability to manage expectations of managers and liaise with colleagues across all levels of the business
  • Proactive approach to work, with a can-do attitude and a strong appetite to learn
